How to Use Workflow Designer
Who is this article for?Ideagen Quality Management administrators importing workflows.
Workflow Designer access is required.
The Workflow Designer tool allows you to drag and drop objects to create your workflow steps and drag connectors between them to indicate routes. The steps below describe how to create a standard CA/PA (Corrective Action/Preventative Action) workflow.
This article outlines:
1. Build Steps and Routes
- Double click or drag an icon from the object toolbar down to the Canvas to add your first step.
Note: Steps do not have to be created in order. You can begin anywhere and modify them later.
- Click inside the object and give it a name.
Note: Every step must have a name. An error message appears when you attempt to import the workflow if any do not.
- Drag another icon from the toolbar to create the next step. Repeat steps 1 and 2 as needed.
- Create routes between steps where needed by mousing over the step you want to route from, selecting one of its borders and dragging it to the border of the step you want to Route to.
- Select the route line to name it. If the name appears over other objects, drag the name to a better location.
- Continue steps 3-5 as needed.
Note: Remember, any object can be drag and dropped for better positioning. Routes can also be modified to begin from a different side of a step. Remove objects by highlighting them and pressing Delete or by right- clicking it and selecting Delete.
- If your workflow includes any system action steps, designate them by highlighting a step object and clicking the System Action steps button from the Edit Toolbar. A symbol is placed on the step indicating it's a system action step. Once you import the workflow into Ideagen Quality Management, you must configure the system action step settings.
- Once completed, set your Begin and End steps. To do this, highlight the object in your diagram that will be your Begin step then click the button from the Edit Toolbar. The Begin step turns green. Next highlight your End step and click the button. The End step turns red.
In the example above, we have a workflow containing six steps, with routes going to and from each, and a Begin and End step designated.
2. Set Properties
- Save your workflow by going to File > Save or pressing CTRL+S. The first time you save the workflow it opens the properties window where you provide a Title and modify the save location.

Tip! Press CTRL+S often to save your work just as you would with a document file.
