Managing workflow definition access

Administrators needing to grant access to view and edit workflow definitions.
Administrator module access is required.
Workflows help manage and automate business processes, but only their creators have full access by default. Administrators may need access for oversight or collaboration.
This article explains how to grant these permissions.
1. Granting access
To grant access to workflow definitions:
- Navigate to Administrator.
- Select Workflow.
- Open the workflow.
- Click Take Offline to make changes.
- Go to the Workflow Definition section.
- Under Permissions area, select a role or user.
- Grant the required permissions:
- View – Allows the user to see the workflow.
- Edit – Allows modifications to the workflow definition.
- Click Save Changes to apply the new permissions.
- Click Put Online to reactivate the workflow.
Taking a workflow offline temporarily disables it, so ensure this is done during a maintenance window or when it won’t disrupt operations.
