Inbox Assistant | Frequently asked questions
Who is this article for?
Users looking to use Ideagen Mazlan Inbox Assistant functionality.
Ideagen Mazlan access is required.
The Inbox Assistant, powered by Ideagen Mazlan, helps you understand and prioritise your Ideagen Quality Management inbox without manually opening and scanning every item.
This article answers the most commonly asked questions about the Assistant.
Inbox Assistant is a pilot feature
This feature is available to selected pilot users only. It is disabled by default and must be enabled for your account by your Ideagen contact.
Does the Inbox Assistant access my personal data?
Mazlan only reads your inbox and history data within your permission scope in IQM Core. It does not access records you are not entitled to see, and it does not store or transmit your data outside the system.
Why can't I see some inbox items when I ask Mazlan?
You may have an active filter applied to your inbox. Mazlan will alert you if it detects that a filter is hiding items. To see all items, clear your inbox filter and ask again.
Why is a training showing as "awaiting verification" instead of "completed"?
A training is only marked as fully completed once all required sign-offs are received. If a verifier has not yet signed off, your training will appear as "Awaiting Completion Sign-Off" or "Awaiting Effectiveness Sign-Off" until they do. Mazlan will show you who is pending.
Can I ask Mazlan to approve or complete something for me?
No. The Inbox Assistant is read-only. It will explain what action is needed and direct you to the right place, but all actions must be performed by you directly in IQM Core.
Can I ask questions in languages other than English?
The Inbox Assistant currently works in English. Response in other languages is not tested but is supported.
The Mazlan button is not visible. What should I do?
The feature must be enabled for your account. Please contact your Ideagen Customer Success Manager or your internal system administrator.
