The AI-assisted workflow initiation feature, powered by Ideagen Mazlan, helps you raise workflows faster by guiding you through the process in a natural conversation. Instead of navigating to the right workflow type, opening a blank form, and filling in every field manually, you simply describe what happened. Mazlan identifies the right workflow, collects the details it needs, and pre-fills the form for you to review before submitting.

Inbox Assistant is a pilot feature
This feature is available to selected pilot users only. It is disabled by default and must be enabled for your account by your Ideagen contact.
Does Mazlan access my existing workflow records or data?
No. The Workflow Initiator only creates new workflow instances based on what you describe. It does not read or access existing workflow records, cases, or sensitive data in your system.
Why did Mazlan ask me an impact question before recommending a workflow?
When your description could match more than one workflow type, Mazlan asks one question to understand the impact before recommending. This helps it steer you to the right workflow rather than guessing.
What if Mazlan suggests the wrong workflow?
Tell Mazlan it has the wrong workflow and describe what you need. It will re-match and ask you to confirm the new recommendation. Nothing is created until you explicitly confirm.
Can I skip optional fields?
Yes. Optional fields appear as a numbered list in the summary. You can fill any of them in by replying with the number, or simply confirm and they will be left blank. You can always add information directly in the workflow after it has been created.
Why did Mazlan fill in my name automatically?
Mazlan resolves your name, department, and today's date from your current session. If you also used first-person language ("I raised this", "I was the witness"), that confirms it further. These values are shown in the summary for your review.
How do shortcuts work when picking from a list?
When Mazlan shows a numbered list, you can reply with the number, a keyword, or the first few letters of an option. If your input matches exactly one option, Mazlan selects it silently. If it matches several, Mazlan shows only those options for you to narrow down.
Can I change a value in the summary?
Yes. Before confirming, ask Mazlan to update any field by name or number. Mazlan updates it and re-shows the full summary. Once confirmed and the workflow is created, changes must be made manually in the workflow editor.
The AI button is not visible. What should I do?
The feature must be enabled for your account. Please contact your Ideagen Customer Success Manager or your internal system administrator.
