Logging into Quality Management (Essentials)
Who is this article for?Users looking to sign in to Quality Management.
Quality Management account is required.
Whether you're approving or editing an SOP document, processing a CAPA workflow, or taking a test for Human Resources, you must log in to carry out the task.
From the login page, each user has an option for how they'd like to access the system.
- Dedicated - license assigned only to a single user account. This is typically an administrator or Quality manager. Only that user can log in with that license.
- Concurrent - license shared among many users. You may own five Concurrent licenses and have thirty users assigned to them. This means only five of the thirty can be logged in at a time.
- Concurrent Training/Testing - training and testing license shared among many users and works similarly to a traditional Concurrent license.
1. Logging in
1.1. Standard user
To sign in:
- Enter your Quality Management URL into the browser.
- Select Launch to open the solution.
- Enter your Login Name.
- Click Log In.
- Enter your Password.
- Click Log In.
Your password is case sensitive, so make sure you enter it carefully!
If you log in to Ideagen Quality Management via SAML (Security Assertion Markup Language) Single Sign-On, you will not be presented with a password prompt.
Click the Log In button to be redirected to the provider with which you authenticate. If you are already logged in to that provider, you will be automatically logged into Quality Management.
1.2. Training/Testing user
We recognise that many businesses have a need for certain Personnel to access Ideagen Quality Management for no other reason than periodic testing. Such users are typically employees who do not have email accounts or regular access to a computer but occasionally need to log in to maintain certification or keep up to date with changing procedures and policies.
These employees can use a Concurrent Training/Testing license. This means that those users can log in and perform their training/testing tasks while not occupying one of your standard Concurrent licenses. These licenses should be assigned to users whose only responsibility is testing.
When logging in, those users should tick the User Training/Testing License box.
2. Logging out
We recommend always signing out at the end of your session, to free up licenses for other users. Closing your browser will not log you out automatically, until your session expires.
To end your session:
- Select your name in the top right corner.
- Click Log Out.
3. Login errors
3.1. Locked account
If your login attempts fail too many times, your account becomes locked out. Contact your Administrator to unlock it or to find out how many incorrect login attempts you're allowed.
If your Administrator doesn't allow you to keep the default password, you will be required to reset it on your next login. Even if you are not prompted to change it, we recommend you do so since other users may know what the default password is.
3.2. All licenses in use
Once the allowed number of users is logged into the system, any further attempts by other users to log in will be denied.
One of the users must log out and free up a license before you log in.
3.3. Session expired/Timeout
Quality Management has a session expired/timeout setting that Administrators configure.
This is the maximum time (in minutes) users can remain idle before they're automatically logged out. When that time is surpassed, users are presented with an expired session screen.
Lower settings help prevent unauthorized access in cases where users may leave the system open and unattended. Low settings can also prevent users from taking up a license while idle.
