Using the Manual file transfer
Who is this article for?Administrators needing to move manual files.
Adminpermissions are required.
If Automatic File Transfer is not installed on your computer or enabled by your System Administrator, you can use the Manual File Transfer method to check your Documents in and out when editing. You may also turn Manual File Transfer off individually from the User Preferences page.
1. Checking In/Out Documents
Checking Out
- From the Context Menu, select Edit or Check Out.
The manual checks out page opens. - Select the Check Out button from the page to download the file for editing.
- The file downloads and is ready to be opened at the bottom of your browser.
The page simultaneously refreshes to provide Check In and Check Out Again options. - Select the file to open it.
- Make your edits.
- Save and close it.
Or choose save location either on your computer or a network drive if you're not familiar with where downloaded files are stored by default. You're now ready to check it back in.
If you misplace where the file is saved, use the Check Out Again option (as shown above) to redownload the original edit file.
Checking In
- From the current page, drag and drop the file from the saved location or click the check in area to browse to it.
The page refreshes indicating your file has been checked in.
You may replace one file with another by dragging and dropping or just browsing to a new file. You will be prompted to confirm you wish to replace the file. This also allows you to change the file type of a given file without modifying its document properties. The replace prompt will appear when you have attempted to check in a file that has a modified title, ID, properties. The file types.
2. Checking In/Out Dependencies
When editing files that have "Child" Dependencies (documents whose edit cycle is tied to that of the "Parent"), you have the option of editing all files at once. Read more on Dependencies here.
Checking Out
- From the Context Menu, select Edit Document or Check Out.
The manual Check Out page opens, showing options to check out the Parent file (at top) and any Child Dependencies (below it). - Select the Check Out button for each file you want to download for editing.
The file downloads and is ready to be opened at the bottom of your browser, as shown below (unless your browser is set up to open it otherwise). - Select the file to open it.
- Make your edits.
- Save and close it.
Or choose save location either on your computer or a network drive if you're not familiar with where downloaded files are stored by default. You're now ready to check it back in.
Checking In
- From current page, drag and drop each file from the saved location or click the check in area to browse to them.
The page refreshes indicating your file has been checked in. - Continue as needed, checking in all files.
