Using the Inbox
Who is this article for?Users who want to learn how to get the most out of their Inbox.
No special access or permissions are required.
Each user has access to a customisable landing page displaying all items that require processing. By default, this is the initial page presented to users on login.
This article walks you through the features offered by the Inbox.
1. Accessing your Inbox
You will be taken to your Inbox after logging into the system (unless this setting was changed by your Administrator).
If at any point you navigate away from the page, you can access the Inbox from the Navigation Menu.
Does your Inbox look different?
This version of the Inbox launched in June 2024.
Administrators have the option to enable the Modern Inbox in System Settings. Until they enable this setting, your Inbox will retain its legacy visual design!
2. Filtering your Inbox items
You can manage large volumes of items by using the available filtering options.
2.1. Search bar
Enter the ID or Title of the record you want to find in the search bar, then press Enter or click the Magnifying glass icon.
2.2. My Items/Unread/Undated Only filters
Open the Additional Filters box and tick any combination of the filters to only display items that meet the selected criteria.
| Filter | Description |
| Undated Items | Displays items that don't have an assigned due date. |
| My Items Only | Displays items that belong to you. |
| Unread Only | Displays items that you haven't interacted with yet. |
Below is a screenshot of an Inbox filtered to show items I am the owner of (My Items Only) that I haven't opened yet (Unread Only).
2.3. Sort
Click Sort and select the sorting option you want the items in your Inbox to follow.
2.4. Filter by Status
Select one or more tags to only display items that match the Status.
2.5. Filter by Stage
Selecting a workflow in the Type dropdown will activate this dropdown. Choose one or more stages to only display items that are in that Stage.
2.6. Filter by Date Period
Select a date range to only display items with a due date within the period.
3. Processing your Inbox items
To process any item in your Inbox, click its hyperlinked Title.
You will be taken directly to the item page, where you can process it as normal.
4. Reorganising your Inbox items
There are a few quality of life options you can use to organise your Inbox in a way that suits your needs.
To move items, click and drag the six dots next to the item heading.
To collapse/expand items, click the Arrow icon to the right of the item heading.
Your choice of which sections to collapse/expand is remembered between sessions!

2. Customising your Inbox widgets
You can add functionality to your Inbox with Widgets.
To add a Widget:
- Click the Add Widgets button to the right of the header.
- Tick the box next to the Widgets you want to include.
- Select a placement from the Add to dropdown.
- Click Add.
To remove a Widget, untick it or click Reset to Default.
3. Processing your Inbox items
To process any item in your Inbox, click its hyperlinked Title.
If you have several items of the same type, you may need to expand its node by clicking the Plus icon or header.
You will be taken directly to the item page, where you can process it as normal.
4. Reorganising your Inbox items
To collapse/expand items, click the Arrow icon to the right of the item heading. On some browsers, this is replaced by Minimize/Restore options.
Your choice of which sections to collapse/expand is remembered between sessions!
