Using the Workflows section of the Inbox

Alter Workflow Instances permissions are required.
Workflows are electronic versions of any paper-based or manual process you may have around your office. Workflow tasks appear in your Inbox as you receive them and are sent to other users as they move on their way to Completion.
You may either initiate Workflows if your permissions allow or be required to process them through a later stage.
1. Workflows
Active Workflow processing tasks are organized into three heading levels:
- Workflow Title (first level)
- Active Step (second level)
- Instance ID (third level)
Click an Instance to open it for processing.
A given Workflow, whether just initiated, midstream, or completed, is referred to as a Workflow Instance.
2. Processing a Workflow
Workflows can be processed in two ways.
New Workflows are initiated from the Workflows link in the Navigation Menu, while previously initiated Workflows are accessed from your Inbox.
2.1. New Workflow Instance
To process a new Instance:
- Select Workflows from the Navigation Menu.
- Highlight a Workflow.
- Click Create.
Your window will refresh and display the initial step of the Workflow you've kicked off.
- Fill out all required fields.
- Click the Route button when complete to move it to the next step.
Or click Save Changes if you want to return to it later from your Inbox.
Some Date fields and Subform fields require you to save changes before you can select a date or add rows the first time you access a Workflow Instance.
2.2. Existing Workflow Instance
To process an existing instance:
- Expand the Workflow header.
- Click the Instance link.
- Fill out all required fields.
- Click the Route button when complete to move it to the next step.
Or click Save Changes if you want to return to it later from your Inbox.
If another user has edited the Workflow Instance you are attempting to save or route since you loaded the Workflow, a message will appear that indicates your changes were not saved.
Refresh the page to review the new data in the Workflow and update it as needed.
