How to Use Search
Search features let you quickly and easily find information with minimal mouse clicks and hunting. You can search documents and workflows in two ways:
•Quick Search - quickly find items by their Content, Title, or ID.
•Advanced Search - lets you refine your search by using multiple filters, including Content, Title, ID#, Standards, File Type, Status, Custom fields, or Location in the Documents Tree.
Search Details
A document's Ideagen Quality Management ID# is instantly searchable once the document exists in the Documents Tree. The other document properties and content (anything from within the file) are not searchable until the Ideagen Quality Management Indexer has run. This Scheduled Task typically runs daily but check with your system administrator for an exact time.
Content Indexing Rules
These scenarios affect when documents are or are not scanned by the Indexer service, which makes their content searchable:
- Any document in revision 1 that has not yet been published is indexed.
- All currently published revisions are indexed.
- Previously published revisions are not indexed.
- If a document has been published before but is currently in edit, approve, or review status, then only the last published revision is indexed. In other words, the current version being edited is not indexed.
