How to Add Workflow Designer Files

Workflow Designer access is required.
Once you've finished building your workflow and are ready import it into your Ideagen Quality Management system, follow these steps. The IconKey2 Workflow Definition Administration permission is required to import the Designer File.

Note: You cannot modify and re-add a Workflow Designer file to an already-imported workflow definition. In other words, you get one shot. Any further modifications should be made in the Workflow Definition through the Ideagen Quality Management application. If you choose to upload the workflow Designer file again it will create another workflow definition.
1. How to Create a Workflow
- Click Create Workflow button on the edit toolbar.
Note: The Preferences window opens if you haven't configured how the Workflow Designer connects to Ideagen Quality Management. See Preferences above for details.
- Enter your Ideagen Quality Management login credentials in the pop-up window and select OK.
- If any issues exist with your flowchart, warning or error messages appear. Acknowledge these or correct any issues on the Canvas. Then return to step one.
If no issues exist, a confirmation message appears asking if you want to go to the workflow definition page of the workflow you just imported. Click Yes to have Ideagen Quality Management automatically open to that page. Your workflow is now added to the Administration > Workflows page and is listed under the Title you gave it in the properties window.
- A .jpg image file of your flowchart is automatically attached to the definition page.
- Email actions are automatically generated for each route.
2. How to Create an Image from Existing Workflows After Upgrading
For users who have upgraded from a previous version of Ideagen Quality Management and want to create an image for their existing workflows and upload them to the workflow definition pages, use the Attach Diagram feature.
To do this:
- Recreate the existing workflow in the Canvas area just as you would a new workflow.
- Click the Attach Diagram to Workflow button on the edit toolbar.
- From the pop-up window, select which workflow you want to attach the image to as well as the type of file you want to generate (.jpg is standard), then click Attach.
Note: Do not click Create Workflow or you'll add a second definition in addition to the existing one.
Tip! To create an image file that can be emailed or uploaded into Ideagen Quality Management as a document, go to the File menu and select Save As. From the save pop-up, change the file type to an image extension like .jpg or .gif.
