Setting up Data Copier Automation

Workflow Designer access is required.
Data Copier automatically updates data in a related Workflow based on current field values in another. Where the custom fields used between those Workflows are the same, the data from the initiating Workflow automatically updates the target Workflow, overwriting any preexisting data. This article shows you how to set up the automation.
1. Data Copier Functionality
Data Copier supports the following fields (single or multiselect):
- Date/Time
- Document
- External File
- Folder
- List
- Personnel
- Standard
- Subform (including all subfields and rows)
- Text
Only fields that exist on both the target and source Workflow are updated. In other words, if a Text field does not exist on the initial copying or target copied-to Workflows, it will not be updated on the other.
All data in common fields between these Workflows are overwritten in the target Workflow, with no exceptions.
No record of previous data is retained in the target Workflow after this overwrite during the copying.
Data copier will find all instances for the specified Workflow definition in that family of Workflows.
Example
Parent Workflow Instance launches five Child Workflow instances. If one of the Child Workflows reaches a certain step it launches a Grandchild. This Grandchild has a data copier that launches back to the Child instances. Even if only one of the five Child instances had reached that particular step and launched a Grandchild, all five of the Child instances will have data copied back to them from the Grandchild.
2. Setting up Data Copier
To create a Data Copier step:
- Open a Workflow Definition.
- Give the new step a Title.
- Select Automation from the Type dropdown.
- Click Add Step.
- Create Routes to and from the step.
- Select the newly created Automation step.
- Choose Data Copier from the System Actions dropdown.
- Select the target Workflow from the Select Workflow to Copy to dropdown.
- Click Add Automation.
If desired, add additional system Actions, including more Data Copier configurations to other Workflows.
