Troubleshooting issues with document printing
Who is this article for?
Users who are trying to print system-generated PDF documents but are unable to do so.
View and Security permissions are required.
When a document opens correctly, the Print icon may be missing or clicking it doesn’t do anything.
This article explains the most common reasons why printing might be restricted and what you can do to resolve that
1. Issue
When opening a document in the app, the Print icon is missing or unresponsive.
There are several causes for this issue:
- PDF printing is disabled
- PDF security is enabled
- Document is stored in multiple folders
2. Solution
2.1. PDF printing is disabled
If the folder where the document is stored has the Allow PDF Printing option turned off, the document won’t be printable even if you have the right permissions.
To resolve the issue, enable Allow PDF Printing for the folder the document exists within.
2.2. PDF security is enabled
If PDF security is turned on, you may be prompted for a password when trying to edit the PDF in Adobe Acrobat.
This doesn’t block printing in the browser, but it can be confusing if you're trying to open the file outside of your Quality Management site.
2.3. Document is stored in multiple folders
If a document is linked to more than one folder, and even one of those folders has Allow PDF Printing” disabled, the document will not be printable from any location.
To resolve the issue, enable Allow PDF Printing for all folders the document exists within.
