Viewing and reporting on group access

Administrators who want to understand how to access and report on group permissions across folders and documents.
Administration module access is required.
Ideagen Quality Management provides tools to view and report on group permissions, but there are limitations when it comes to identifying where those permissions apply - especially for folder and document access.
This article explains where you can view permission information, what can be reported on, and what cannot be directly retrieved.
1. Viewing group access
To view group access:
- Navigate to Administration.
- Select Groups.
- Highlight the group you want to view.
- Click Properties.
Here, you will be able to view all permission assigned to the group, including information on whether these are directly assigned or inherited via roles or other groups.
2. Reporting on group access
There is no built-in report or script that shows a list of:
- folders where the group has view/edit access.
- documents the group can access based on folder-level security.
This type of access is determined by folder-level security settings, which must be reviewed manually.
3. Reporting on group activity
While there is no built-in report to fetch information on group access, the system does provide common scripts that offer useful insight into group activity. These are the Group summary and User list by permission scripts.
3.1. Group summary script
This script gives visibility into:
- Documents where the group is assigned for Review, Approval, or Notify.
- Workflow steps where the group is a Responsible Party or Collaborator.
3.2. User list by permission script
This script gives you visibility into:
- Users with specific permissions, whether directly or via group membership
