Getting started with the Ideagen Hub integration

Administrators and Users looking to learn more about the integration with Ideagen Hub.
No special access or permissions are required.
Ideagen Quality Management • Core is transitioning to Ideagen Hub for login and user management starting March 2026. The migration will be conducted in scheduled phases.
Integrated customers will receive advance notification separately to help you prepare.
This article outlines everything you need to know about Ideagen Hub and how it will improve your user management experience.
1. Ideagen Hub
Ideagen Hub is your central gateway to all Ideagen products, providing a unified login experience and access to resources. You can learn more about it in our dedicated article outlining its purpose and benefits.
What changes with the integration?
There are several beneficial changes to the experience following the integration:
- Login - You'll use a new login screen (Ideagen Hub) instead of the Ideagen Quality Management login page
- Password management - One-time password reset required. Passwords are now stored in Ideagen Hub, no longer in Ideagen Quality Management
- New user accounts - Admins create new users in Ideagen Hub (not in Ideagen Quality Management)
- E-signature/password verification - Your Ideagen Hub credentials will be used for e-signature and password verification in IQM Cor
What stays the same?
There are many Ideagen Quality Management-specific elements that remain unchanged:
- Data and documents
- Permissions and roles
- Features and workflows
- Site URL (redirects to new login screen)
The Password field in Ideagen Quality Management remains editable. This is used for accessing client tools with legacy password verification methods only (such as Header and Footer, Workflow Designer), not for logging into the system.
2. Timeline
Before migration
- Impacted customers receive advance notice.
- Admins sanitise usernames. Username can only contain letters, numbers, symbols, and punctuation. Spaces and control characters are not allowed.
- Admins must ensure that the First Name and Last Name fields are not empty. If they are missing, the system will automatically populate them after migration based on predefined logic by splitting the Full Name where possible.
- Important: Admins ensure each user account has a valid email address (required for password reset notification).
- If using Single Sign-On (SSO), IT admins must configure your Identity Provider (IdP) before the migration date and submit the required information to Ideagen.
Full migration proceeds on the scheduled date regardless of whether your configuration has been submitted. Submit on time to avoid disruption to your users.

During migration
- Automatic migration occurs.
- Ideagen Quality Management may be briefly unavailable.
- Important: Admins do not create or update users during this time.
After migration
- All users will access Ideagen Quality Management via Ideagen Hub.
- SSO users will sign in using their SSO email address.
- Native users will sign in using their Ideagen Quality Management login name and new Hub password.
- Your Ideagen Quality Management data, documents, permissions, roles, and existing URL remain unchanged.

3.1. General
Do permissions stay in Ideagen Quality Management?
Yes. User roles and permissions are still managed within Ideagen Quality Management.
Do I need a new account?
No. Your existing account will be automatically migrated to Ideagen Hub.
Will my data change?
No. Only the login method changes. All data remains the same.
Can I still use my Ideagen Quality Management URL?
Yes. You'll see the new login screen (Ideagen Hub), then be automatically returned to Ideagen Quality Management after logging in.
What if I didn't get the welcome email?
Check your SPAM/Junk folder first, then contact your System Administrator.
Where do Admins create new users after migration?
In Ideagen Hub. User creation in Ideagen Quality Management will be disabled. Users created in Hub automatically sync to Ideagen Quality Management (one-way sync only).
Will my login name change?
For SSO users, each user's Ideagen Quality Management login name must be set to their email address before migration. If a login name is not an email format, it will be automatically overwritten with the user's SSO email address during migration - and the user will no longer be able to use their original login name.
Ask your SSO users to update their Ideagen Quality Management login name to their email address before the migration begins.
For native login users, each user's Ideagen Quality Management login name must be a valid username - it must not contain spaces or special characters. Users with a login name that does not meet this requirement may be unable to log in after migration.
Ask your native login users to check their Ideagen Quality Management login name and update it if needed before migration begins.
Can I update user information in Ideagen Quality Management after migration?
No. User profile updates (name, email, job title, mobile) must be done in Ideagen Hub and will sync automatically to Ideagen Quality Management. However, user permissions and roles are still managed in Ideagen Quality Management.
