Ideagen Quality Management • Core now integrates with Ideagen Hub’s notification inbox service, providing a centralised location for you to view and manage notifications directly within Hub.
This article contains everything you need to know to use the notifications in your day-to-day work.
1. Accessing notifications
To access Ideagen Quality Management notifications in the Ideagen Hub interface, follow the article on navigating Hub notifications.
2. Module notifications
Notifications are generated for the following modules.
2.1. Documents
Activities generating notifications:
- Document in Edit
- Document for Review
- Document for Approval
2.2. Training
Activities generating notifications:
- Training assigned to user
- Training for Completion Sign Off
- Training for Effectiveness Sign Off
2.3. Tests
Activities generating notifications:
- Test assigned to user
2.4. Workflows
Activities generating notifications:
- Workflow instance steps assigned for user action
2.5. Reports
Activities generating notifications:
- Report available for download
3. Action Required widget behaviour
3.1. Task reassignment
The Action Required widget will automatically reflect task reassignment changes made in Ideagen Quality Management in the following scenarios:
- Out of Office (OOO) reassignment - When a task is reassigned through Out of Office, the Action Required widget in Hub will display the task for the OOO Manager instead of the original user.
- Group membership removal - When a user is removed from a group and the task is reassigned, the Action Required widget in Hub will update to display the task for the new assignee.
- User disabling - When a user account is disabled and tasks are reassigned, the Action Required widget in Hub will reflect the replacement user as the task owner.
- Cancelled tasks for disabled users - Tasks associated with a disabled user that are cancelled (such as tests or trainings) will be removed from the Action Required widget in Hub.
3.2. Due date
The Action Required widget displays tasks that require user action and have a due date, so:
- Workflow tasks without a due date will not appear in this widget.
- Report and Workflow tasks without a due date will instead appear under Recent Updates.
5. Limitations
5.1. Due date updates
If the due date of an item is modified after the notification has already been created, the updated due date will not be reflected in the existing Hub notification.
Due date timezone
Due dates are currently sent to Idaegen Hub in UTC format. Timezone conversion is not yet applied, so the displayed time may differ from the user’s local timezone.
