Displaying the final approver in header/footer templates
Who is this article for?
Users who need to configure document approval workflows and header/footer templates.
Document and folder configuration access required.
The ##APPROVED_BY## environment variable is system-driven and always displays the last user in the document's approval sequence. The field itself cannot be manually configured in the template to select a specific approver, as its value is strictly determined by the approval workflow order.
This article explains how to configure its display for documents.
Displaying the final approver value
Document-level
To configure the final approver for individual documents:
- Navigate to Document.
- Select Properties.
- Go to the Document Lists tab.
- In the Approvers column, review the entries (displayed as Yes(1), Yes(2), etc.).
- Adjust the order so that the intended final approver has the highest sequence number (e.g., Yes(3)).
The approver with the highest sequence number is treated as the final approver and will populate the ##APPROVED_BY## field.
Folder-level
To configure a final approver across multiple documents:
- Go to Folder Properties.
- Select the General tab.
- Under the Approval List section, configure the Required Approver.
- Enable Make Final Approver.
This ensures that one user is always the final approver for documents within that folder.
