Reviewing user information and activity in Ideagen Quality Management

When investigating user-related issues — such as understanding who has access to what, or reviewing login activity — Ideagen Quality Management provides several tools to help.
Understanding what user information is available
The following tools give administrators visibility into user activity and current permission and group assignments.
System Audit Trail
The System Audit Trail provides a record of user actions taken within the system. This is the primary tool for reviewing what users have done and when.
Common Scripts
The Common Scripts section includes several reports relevant to user management:
- User Activity (Ideagen Quality Management Usage) — Usernames, last login date and time, and number of logins within a selected date range
- Users List by Permissions — All users who hold a specific permission, whether assigned directly or via group membership
- Group Summary — Group assignments as they apply to documents and workflows
Running a Common Script
To run a Common Script:
- Go to Administration in the Navigation Menu.
- Select Common Scripts.
- Choose the relevant script from the list.
- Set your date range and any other parameters as required.
- Click Run Report.
Tip: If you are trying to understand who currently has access to a specific document or workflow, the Users List by Permissions and Group Summary scripts are the most useful starting points. They show current assignments rather than login history.
Understanding what user information is not available
Ideagen Quality Management does not currently capture or report on the following user management events:
- The date a user account was created
- The date a user account was disabled or re-enabled
- A history of when a user was added to or removed from a group
The available tools show the current state of user accounts and permissions, and login activity within a selected period. They do not provide a timestamped history of changes made to user accounts over time.
Note: This is a platform-level limitation and cannot be configured or enabled within the current version of the system. If this functionality is important to your organisation, contact your Account Manager to discuss raising a feature request.
