Troubleshooting automatic training assignment for new group members
Who is this article for?
Administrators managing trainings and personnel groups.
Administration permissions are required.
This article explains why some specific trainings are not automatically assigned to new group members, even though they appear configured identically to the others.
Issue
Once a training has been sent to a group at least once using the Send Training function, any user subsequently added to that group will automatically receive the training, provided the:
- training is enabled.
- group remains listed in the Training Attendees tab on the training definition.
Training must usually be sent manually at least once before auto-assignment to new group members starts.
If most identical trainings auto-assign correctly but one doesn't, despite prior successful sends, check if the Allow Self Submissions setting is enabled for that training.
Important
Enabling Allow Self Submissions on a training stops it from being auto-assigned to new members in the Training Attendees group. This behaviour isn’t clear from the setting’s name and can be confused with permissions or send-history problems..
Troubleshooting
Before checking Allow Self Submissions, confirm the following, as either can independently prevent automatic assignment:
| Check | Description |
|---|---|
| Training has been sent at least once | Use the Send Training button at least once from the Training Attendees tab to establish the automatic assignment behaviour for that group |
| Training is enabled | Confirm the training itself has not been disabled |
| Group is still on the Attendees tab | Confirm the relevant group has not been removed from the Training Attendees list on the training definition |
Tip
To accurately test training behaviour, send the test from the Training Attendees tab, not the General tab, as this better mimics how training is usually triggered for group members.
Solution
To confirm this is the cause and resolve it:
- Open the training definition for the affected training.
- Locate the Allow Self Submissions box.
- If it is tick, untick it.
- Save the training definition.
- Test by adding a user to the relevant group and confirming the training now appears in their inbox automatically.
Example
An organisation has five identical trainings under one group. Four auto-assign correctly to new members, but the fifth does not, despite being manually sent before. The fifth training has Allow Self Submissions enabled. Disabling this fixes the issue, and new members start receiving the training automatically like the others.
