How to Address Issues with Formatting Changes Between Edit Files of Documents and the Published File

Customers may encounter issues where the PDF generated or published file in Ideagen Quality Management has different formatting than the edit file (Word, Excel, PowerPoint).
To make troubleshooting this issue easier to learn, this article is split into three sections so that you can either walk through the steps in sequence or you can jump to the section relevant to what you are finding:
1. Issue Experienced
This section will explain what occurs when the customer is experiencing the issue.
The customer will have noticed that the formatting for the published document is different than the original edit file.
2. Resolution
This section will provide the resolution for the formatting differences.
This resolution will be for a Word document, but similar procedures can be used for other formats.
- Go to the document in Ideagen Quality Management and choose Check Out.
- Open the document in Word and go to Options and Save. (This is File>Preferences>Save on Macs.)
- Enable Embed fonts in the file and hit Ok.
- Save changes to the document and check back into Ideagen Quality Management. The formatting should now match what is in the Word version.
