Deleting Workflow Instances

Data Retentionpermissions are required.
To help you comply with data retention policies regarding end of life for certain workflow records, you may delete specific Workflow Instances. Doing so completely removes the record, including custom field data and any external attachments, from the system.
To provide oversight into this action, the following details are retained: workflow instance ID, workflow definition title, the name of the person deleting, the deletion reason, and date the deletion occurred.
1. Deleting Workflow Instances
To delete an Instance:
- Open an Instance.
- Click Delete.
- Enter a deletion reason in the pop up.
- Click Continue.
- Enter the Workflow Instance ID to confirm the request.
- Click Delete.
The Workflow Instance is deleted. This event can be reviewed via the Data Retention Activity report.
You must be on the View security settings on the Workflow Definition (which specifies who can view the process, regardless of which step it's at), or the IconKey2 Alter Workflow Instances permission to be able to delete an Instance.
This is in addition to the permissions listed at the top of the article.
