Finding a workflow instance

Administrator module access and Wofklow Definition permissions are required.
Workflow instances represent individual executions of workflow definitions in Qualtrax. Locating the correct instance is essential for managing tasks, reviewing progress, or performing actions like deletion.
This article explains the different methods available to find workflow instances efficiently.
1. Inbox
To find a workflow instance:
- Navigate to your Inbox.
- Expand the Workflows section.
- Click the instance link for active items assigned to you.
2. Search
To find a workflow instance:
- Open the Administration module.
- Select Workflows.
- Click Search.
- Enter keyword.
- Press Enter.
- Select the desired instance from the results.
For closed workflows, always check Include Closed in Workflow Search; otherwise, they will not appear in results.
