Modern Standards module
Introduced a modernised Standards administration experience with search and bulk enable/disable capability.
This only applies to version 2026.8.0.0 onward.
The Modern Standards module is the redesigned area for managing the compliance Standards used across Ideagen Quality Management Core. Standards you create and enable can be associated with documents and workflows — letting you categorise documents for auditing, locate every document linked to a Standard using the Advanced Search tool, and report on when, how and by whom those documents were created and processed. From a single listing page you can search, sort and filter Standards, add and edit them, and enable or disable them individually or in bulk.
Before you begin: To open and use Modern Standards you need the Personnel → Standards Administration permission. With this permission enabled you can access the module (the Groups → Standards Administration permission is not required for access). Without the Personnel Standards Administration permission, the Modern Standards page is not accessible.
Opening the Standards list
Navigate to Standards from the administration area. The listing page shows all Standards in a table, with the total number of Standards displayed.
Understanding the columns
- Organisation / Unit — the organisation the Standard is referenced from; the year is typically included (for example, “ISO:9001” or “ISO 17025:2005”).
- Standard — the specific section or clause from the organisation’s compliance manual. This is what users associate documents and workflows.
- Description — a brief explanation of what the Standard means or requires. Optional, and shown only on this page.
- Enabled — whether the Standard is active and available in the selection lists users see when adding Standards to documents and workflows.
- Rows per page. Choose 10, 25, 50 or 100 rows per page using the page-size selector.
- Sort. Click the sort icon on Organisation/Unit, Standard or Description to sort by that column. Only one column sorts at a time, the current sort is indicated on the column, and the order is kept as you page through the list.
Finding a Standard
- Search. Type in the search box to filter the standard list. The search applies to Organization, Standard title, and description column. The search is a "contains" match and is not case-sensitive.
- Filter by organisation. Use the Organisation dropdown to show Standards for a specific organisation.
- Show enabled standard only. Toggling to the left will display only the enabled standard list. By default, it is set to toggle left, showing all standard lists.The filter applies across all pages.
You cannot delete a Standard once it has been added — disable it instead.
Ideagen Hub rebranded to Mazlan Home
Ideagen Hub has been rebranded to Mazlan Home across Ideagen Quality Management Core, including related settings and terminology.
Create users from Ideagen Quality Management Core and provision to Mazlan Home
Administrators can now create users directly in Ideagen Quality Management Core, with the new user automatically provisioned to Mazlan Home.
This allows administrators to create users from either Mazlan Home or Ideagen Quality Management Core.
The capability is enabled by default and can be disabled by the administrator under System Settings.
Additional synchronization status information is also available to help administrators track the user provisioning status.
Mazlan Home - Configurable user name format when synced from Mazlan Home
Administrators can choose to keep the existing Personnel Full Name in Ideagen Quality Management Core when user details are synchronized from Mazlan Home.
Administrators can configure the display format as either:
- First Name Last Name
- Last Name, First Name
Configuration available under System Settings > Mazlan Home.
Fixes
Email Actions
- Fixed email action date fields appearing blank instead of the system default 1/1/0001.
Inbox
- Fixed passed tests not clearing from the Inbox. Passed tests now clear from the Inbox and don't appear as outstanding.
Personnel
- Fixed disabling a user hanging on a blank screen on large tenants. Disabling a user now loads and completes reliably. The dialog also correctly reassigns the user's responsible-party workflows before disabling, rather than reporting success while silently leaving the user assigned to live workflow instances.
- Fixed document upload issues to a Personnel custom field in Google Chrome.
- Fixed issue where New personnel were not automatically added to the "All Users" group, which resulted in the group's assigned Tests and SOP Acknowledgements not being automatically assigned to new employees.
Workflow
- Fixed slow performance when opening, saving and transitioning a workflow that has many smart restrictions configured.
Documents
- Fixed an issue where a document's security inheritance failed when the document's parent was accessed through a shortcut location, which resulted in inherited permissions not being applied and authorized users being unable to open the document.

Features
Improved user management with Mazlan Home
Since the move to Mazlan Home, licence type could not be set at creation, so synced users arrived disabled and needed manual enable + licensing.
Mazlan Home-created users are licensed and enabled automatically. Where no licence is free they show as Pending Enable in the new Mazlan Home Sync Status column. No notification is sent an admin must spot them, free a licence, and enable them manually.
Training enhancements
We introduced a couple of enhancements for the training module:
- The "Inbox Status by Personnel" report for Training Awaiting Completion/Awaiting Effectiveness now shows individual training instance IDs and names, not just totals.
- Custom training reports can now include the Needs to be Processed By field.
Fixes
Documents
- Fixed bulk document upload intermittent failures with incorrect email reporting.
- Fixed Intermittent "Unexpected Step" error during document publish causes temporary hang and delayed approval email.
Inbox
- Fixed loss of documents and reports data when a section is minimised or restored in the Old Inbox.
Notifications
- For on-premises (self-hosted) instances, links in
email-action notificationsno longer have the?ou=1 / &ou=1parameter appended. - Fixed extra blank spacing that appeared between lines/paragraphs in delivered email reminders even though the template previewed correctly in the email editor.
Personnel
- Single Sign-On (SSO)/LDAP-linked users can now have a native password set/reset from the Personnel page.
Tests
- Fixed unexpected test releases to users.
Training
- Fixed an issue where a Workflow Instance Data Copier action copied a Personnel custom field into a parent workflow. Now, the parent step's Needs to be processed by (Responsible Party) correctly updates with the copied user.
- Remove and Clear All now properly remove associated document links from a training definition, including when the definition is disabled, matching the behaviour of testing definitions.

Features
SCIM 2.0 user provisioning
IQMC now supports SCIM 2.0, enabling organisations to automate user lifecycle management - including user creation, updates, and deactivation - via their identity provider.
This has been implemented to support customers using identity providers that support SCIM 2.0 provisioning.
Feature availability

Fixes
- We've resolved an issue where a multi-tenant service install incorrectly registered itself as "Qualtrax Service - Default" instead of the specific tenant instance name.
- Setting or removing Out of Office for a user now generates an audit log entry, giving administrators visibility into when OOO was activated or deactivated and by whom.
- We've resolved an issue where Cascade Logout failed to sign the user out of Hub when their Hub username did not match their IQM Core email address. This was caused by a change in Hub's logout validation that required the user's login name instead of their email address.
- We've fixed an issue where a user's in-progress training instance was incorrectly cancelled when they were added to a group containing a Required training definition, even though the user already had an active instance for that training.
- We've fixed an issue where attempting to disable a user who had pending training sign-offs displayed a generic "Error disabling user: Unknown error" message with no actionable detail, preventing the action from completing.

Features
[Workflows] Clearer email action names
We've renamed workflow email action titles to clearly show what recipients must do. Previous titles like Approve and Publish were confusing when multiple actions appeared in one workflow. The new names better describe each action and its result.
What's changed:
- Approve is now Approve & Auto-Publish, sent when a document is approved and will be published automatically, including documents approved via the Publish On First Revision option. When the Last Only option is enabled, the notification is sent only after all required approvals are completed.
- Approve (Delay Publish) is now Approve & Schedule Publish, sent after a document is approved and is waiting to be published at a scheduled time.
- Publish is now Manual/Scheduled Publish, sent after a document is manually published or successfully published through delayed publishing.
Fixes
General
- We've improved how unread items appear in your Inbox. Following the Gilroy font update introduced in version 2026.3.0.0, some users noticed that unread items appeared smaller, blurry, or unevenly spaced. We've adjusted the bold styling, spacing, and rendering to make unread items consistently clear and easy to identify at a glance.
Documents
- We've fixed an issue where clicking into the Expiration Date field in Folder Properties caused your browser to show autofill suggestions, making it harder to enter the correct value.
- We’ve fixed an issue that prevented users accessing Ideagen Quality Management via Firefox from completing document authentication. This fix also applies to any module that supports authentication through the Hub.
Tests
- We've fixed an issue where removing the expiry setting from a test definition left a stale date still showing in the Date Expires field.
Workflows
- We've resolved a performance issue where workflow instances containing a large number of subforms with Document fields could take 30 seconds or more to load. The system now loads document folder data on demand as you expand folders, rather than loading everything upfront, resulting in dramatically faster page load times.
Note
This improvement requires a configuration setting to be enabled for your environment. Open a ticket with us to have this activated. Once enabled, no changes to your workflows or processes are needed.
- We've fixed an issue where reordering steps in a workflow definition caused custom field names to be unexpectedly changed or lost. This only happens when using old workflow definition and does not affect modern workflow definition.

Features
[Workflows] Multi-language suupport for modern workflow definition
The modern workflow definition UI now supports all 13 product languages, ensuring that field labels, validation messages, and UI controls are correctly translated for non-English tenants.
[Workflows] Group access improvement
Group access is now applied correctly in workflow steps, after a performance and correctness issue where large personnel group datasets caused slowness and incorrect auto-selection in these following fields in the UI:

- Collaborators
- Definition/Instance
[API] Workflow Definition siteUrl
The workflow definition siteUrl returned in API responses now reflects the modern workflow definition URL when the feature is enabled, ensuring API consumers are directed to the correct page.
[Administration] Testing auto-cancellation when last question removed
The system now warns users and automatically cancels active test instances when the last enabled question in a test definition is removed. Previously, tests disappeared from inboxes while remaining incorrectly active in the database.
[Documents] Enhanced bulk upload enhancements
Large bulk document uploads now automatically route to background processing via the Qualtrax Service when the upload count exceeds a configurable threshold (10 by default). Users receive an email notification on completion. Uploads at or below the threshold continue using the existing synchronous flow.
Administrators can adjust the threshold in System Settings.
Fixes
- Resolved an issue where newly added or removed fields in a workflow step were not reflected in the Inbox Display Field and Expires Based On dropdowns until the page was manually refreshed.
- Resolved an issue where custom field type labels (e.g., "External File", "Date Time") displayed as XML translation keys (e.g., ExternalFile, DateTime) instead of their localised text when viewing in non-English language mode.
- Resolved an issue where users without the View/Edit All Documents permission received no file from the Download Published Revisions common script when the document was in Edit status, despite having valid view access to the published revision.
- Resolved an issue where workflow names in dropdown lists (e.g., Email Reminders and other module selectors) were not sorted alphabetically, causing usability friction.
- Resolved an issue where an expired MUI X package licence caused a watermark to appear on the date picker component.

Ideagen Mazlan Home notification integration
Ideagen Quality Management • Core now integrates with Ideagen Mazlan Home’s notification inbox service, enabling you to view and manage Ideagen Quality Management • Core notifications directly within Ideagen Mazlan Home.
This integration provides a centralised notification experience, allowing users to receive Ideagen Quality Management alerts alongside other Hub notifications.
From Hub, users can quickly navigate to related Ideagen Quality Management items such as documents, workflows, tests, trainings, and reports, helping ensure important actions and approvals are not missed.

API - Audit Logging
API Document Download Audit Logging All document download events made via the API are now logged at the database level, capturing sufficient detail to support security incident investigations and compliance reporting.
Fixes
- Addressed multiple security vulnerabilities.
- Gilroy font updated to meet compliance requirements.
- Improved stability for bulk document uploads to address intermittent upload failures.
- Resolved an issue where picklist values containing special characters (e.g., apostrophes) were displayed as encoded text (e.g., Mecke's) when viewing or editing workflow instances. Values now display correctly.
- Resolved an issue where the View and Remove options for certain custom file fields appeared visually as a single combined button. The buttons are now properly spaced to prevent accidental clicks.
- Added the Delay Publish Date field to the Document module reports, allowing users to include this column when generating document reports.
- Resolved an issue where exporting the Training Matrix to Excel could hang or intermittently fail when selecting multiple trainings.
- Resolved an issue where the left sub-menu overlapped the logo dropdown button.
- Resolved an issue where associated documents were automatically removed from a training when it expired, even though the documents remained available in the system

- Fixed an issue where users were unable to add or create fields in the workflow definition step.

Training
You can now attach multiple documents to trainings, improving flexibility for scenarios where a training applies to several related documents, procedures, or reference materials.
Workflows
A new, modernised workflow definition user experience is now available.
Below is an overview of the updated feature:
- Main page - Added an online filter to easily view workflows by online or offline status.
- Steps - Added the ability to reorder custom fields within a step using drag-and-drop.
- Automation - Improved the experience for creating workflow automations with a more intuitive, guided user flow.
- Preview - Introduced a workflow diagram preview to visually represent workflow steps and their connections. Users can clearly see the overall workflow structure and flow at a glance.

Experience - The Workflow Definition menu has been moved to the main navigation menu under the Workflow group. This change applies regardless of whether the new (modern) workflow experience is enabled or disabled. In addition, the Raise Workflow Instance action has been renamed to Active Workflow.
These updates improve navigation consistency and ensure workflow administrative settings are always accessible from a single location, grouped together with active workflow functions.
Coming soon is the ability to add and edit steps directly within the diagram.
